ASDA Integration
Connect Neuro to ASDA's drop-ship vendor programme. Purchase orders arrive as normal Neuro orders, and the acknowledgement, despatch notice and cancellation messages ASDA requires are sent back for you.

Overview
ASDA places purchase orders on an SFTP server in its cXML format. Neuro collects them, turns each one into an order you can pick and pack, and writes three kinds of message back to the same server.
Neuro reads from PO5/inbox and writes to PO6/inbox under the base path you enter. Imported order files are moved to PO5/inbox/processed.
Both ASDA fulfilment types are supported:
Home Delivery. You ship to the customer's address with your own courier.
Click & Collect. You ship to an ASDA store using ToYou. Neuro applies ASDA's ToYou rules for you.
Before you start
ASDA's DSV onboarding team will send you the following. Keep it to hand for Step 1.
You should also have the following ready in Neuro:
Products with matching SKUs. ASDA identifies each order line with your supplier part number. That value must match the product SKU in Neuro so stock and fulfilment link up.
A way to record despatches. Despatch notices are sent when a fulfilment with a tracking number is recorded on the order, from your connected warehouse system, through the Neuro API, or with the bulk fulfilment CSV upload on the Orders page.
Add the ASDA channel
Go to Channels in the left menu.
Click Add Channel.
Select the store the channel belongs to and choose ASDA from the channel list.
Give the channel a Channel name, for example ASDA DSV.
Complete the ASDA fields below and save.
ASDA connection fields
The SFTP fields appear under the heading Locations & warehouses in the channel form.
Folders Neuro uses
These sub-folders are fixed by ASDA, so you do not enter them anywhere.
Check the general channel settings
The ASDA channel shares the standard settings every channel has. Make sure these are set:
Stock feeds to ASDA are not part of this channel, so stock-related toggles have no effect on it.
Decide how orders are accepted
ASDA requires exactly one acknowledgement per purchase order. Neuro sends it for you in one of two ways.
Option A, recommended
Auto-confirm orders
Switch Auto-confirm orders on in the channel form. Every line of every imported order is accepted at full quantity and the acknowledgement is queued at once. The order appears on the Orders page ready to pick.
Choose this if you normally fulfil what ASDA orders and handle shortages later as cancellations.
Option B
Review each order manually
Leave Auto-confirm orders off. Imported orders wait on the Order Confirmations page:
Open Order Confirmations. New orders show Status Pending and Acknowledge Sync Status Pending.
Open an order. Under Confirmation Order Items, expand each line, set Acknowledge Status to Accept or Reject, and save the line.
Click Confirm and Submit Acknowledgements, check the summary and click Submit.
Accepted lines become a normal order on the Orders page. Rejected lines are sent to ASDA as a cancellation of that quantity so ASDA can refund the customer, and they are not added to the Neuro order.
Acknowledgements are sent once. After it has gone, an acknowledgement cannot be changed or re-sent. If you later cannot fulfil part of an accepted order, use a cancellation as described under Cancelling lines.
Map your couriers
The despatch notice tells ASDA which carrier delivered the parcel. Neuro sends the courier name recorded on the fulfilment, after any renames you have configured.
Open the ASDA channel and go to its Couriers page.
Add each courier you ship ASDA orders with. If ASDA expects a different name from your internal one, enter it in Custom Name.
For Click & Collect no mapping is needed. Neuro always reports the carrier as toyou, as ASDA requires, and builds the ToYou tracking link from the parcel ID you record as the tracking number.
Using the channel day to day
How orders arrive
Neuro checks
PO5/inboxroughly every 10 minutes and reads files oldest first.A file is left alone until it is at least two minutes old, so half-uploaded files are never imported.
Each file becomes one order. An order with the same ASDA order number is never imported twice.
Imported files move to
PO5/inbox/processedwith a timestamp added to the filename.A file that cannot be read stays in the inbox and is retried on the next check. The channel log names the file and the reason.
What you see on the order
ASDA purchase orders carry no tax data, so tax fields on ASDA orders are zero.
Despatching an order
Pick, pack and ship the whole order.
Record one fulfilment against the order with the tracking number and courier. A tracking URL is included when your courier provides one.
Within about five minutes Neuro writes a despatch notice to
PO6/inboxcovering every accepted line. The fulfilment status moves from Awaiting Send to Synced.If the fulfilment is marked "set as shipped", the order status changes to Shipped.
One despatch notice per order. Neuro reports all accepted lines in a single notice. A second fulfilment on the same order is marked Synced but no second notice is sent, so ASDA is never told about the same items twice. Record the fulfilment once the whole order has left.
Click & Collect. Enter the ToYou parcel ID as the tracking number. Neuro sets the carrier to
toyouand adds the ToYou tracking link.Home Delivery. The carrier sent is your mapped courier name. Always include a tracking number, as ASDA uses it for customer updates.
Cancelling lines
Every unit ASDA orders must end up either despatched or cancelled. To cancel:
At acceptance time (Option B): set the line to Reject before submitting the acknowledgement. Neuro sends the acknowledgement, then a cancellation for the rejected quantity.
After acceptance: record a refund or cancellation against the order through the Neuro API or your connected warehouse system. Neuro sends a cancellation to ASDA within about five minutes.
If the refund lists items and quantities, only those quantities are cancelled. Each refund item SKU must match a line on the ASDA order.
If the refund lists no items, the whole order is cancelled.
If the refund is marked "set as refunded", the Neuro order status changes to Cancelled.
A cancellation never reports more than the quantity ASDA ordered on that line.
Monitoring and logs
Open the channel and use its Transaction Records to see every exchange with ASDA.
Every file Neuro writes is named cXML_OrderUpdate_<ASDA order number>_<timestamp>.xml, so you can match it to what ASDA sees.
Two status fields tell you where an order is:
Acknowledge Sync Status on the Order Confirmations page
PendingProcessingSuccessFailed
Fulfilment status on the order
Awaiting SendPending SyncSyncedFailed
Troubleshooting
Good to know
Acknowledgements are sent once. ASDA does not accept amendments. Changes after acceptance go through cancellations.
Partial despatch is reported as full. One despatch notice per order covers all accepted lines. Ship complete orders, or cancel the lines you cannot ship before despatching.
Stock is not sent to ASDA by this channel. If ASDA requires a stock feed, speak to your Neuro account manager.
Cancellations from ASDA are not received. If ASDA cancels an order with you directly, cancel it in Neuro too so it does not stay open.
Exchange orders from ASDA import as normal orders. The exchange reference is stored but does not change processing.
Country code. ASDA files may contain
GBorUK. Neuro stores the value as received.
